What this policy covers
This policy explains how Eastern Suburbs Tree Care collects, uses, discloses and stores personal information, and how you can access it or complain about how it was handled. It is written to the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth).
This is a referral website. When you make an enquiry, your details are passed to an independent tree contractor so they can quote and carry out the work — that disclosure is the core purpose of collecting your information, and it is described in full below.
What we collect
We collect only what is needed to respond to an enquiry and arrange tree work:
- Your name, phone number and email address.
- The property address where the work is proposed, and access details.
- What you tell us about the tree, including photographs you send.
- Correspondence between you and us about the job.
Our web server also logs technical information automatically: IP address, browser and operating system, referring page and the pages visited. This is used in aggregate to keep the site working across devices. We use cookies for basic site function and analytics. You can block or delete cookies in your browser; the site still works without them.
We do not collect sensitive information as defined in the Privacy Act, and we do not ask for payment card details through this website.
How we use it
To respond to your enquiry, arrange an inspection, pass the job to a contractor, quote and schedule the work, and to keep a record of what was agreed. We may contact you about that specific job. We do not sell personal information, and we do not add enquirers to marketing lists without consent.
Who we disclose it to
- Independent tree contractors who will quote or carry out your job. They handle your information under their own privacy obligations.
- Service providers who operate our website, forms, email and phone systems on our behalf, including our lead capture platform.
- Councils and other authorities, where a tree application requires the property details.
- Anyone else, only with your consent or where disclosure is required or authorised by law.
We do not disclose personal information overseas as a routine matter. Some of the software providers we use may store data on servers outside Australia; where that is the case we take reasonable steps to ensure comparable protection.
Storage, security and retention
Information is held in our email, phone and lead management systems, protected by access controls and provider-level security. No system is perfectly secure, and we cannot guarantee that a transmission over the internet is free from interception.
We keep enquiry and job records only as long as needed for the purpose they were collected and for any legal, insurance or tax obligation that applies, then destroy or de-identify them.
Access, correction and complaints
You can ask for a copy of the personal information we hold about you, or ask us to correct it, by calling (02) 9538 7842 or using the contact page. We will respond within a reasonable period. There is no charge for making a request.
If you believe your privacy has been mishandled, tell us first and we will investigate and respond in writing. If you are not satisfied with the outcome, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
